Q: What services will OCS provide?
A: OCS is the official freight & logistics company for the Career Forums in Boston and Los Angeles.
We ship all exhibitors' freights from Japan to the U.S. and back, as well as between the Career Forums in Boston and Los Angeles.
We also receive all advance domestic exhibitors' freights in our warehouse, and we work with the organizers and the venue decorating contractor to move freight in and out of the venue. OCS provides outbound return shipping to all international, domestic destinations and other overseas Career Forums.

Q: Where can I find complete OCS shipping information and instructions?
A: Once you register for the Career Forums, you will be able to access your CFN company management page with your ID and password (https://manager.careerforum.net/). There, you can download necessary documents including the exhibitor manual and OCS shipping documents.

Q: How should I package my items?
A: Please package your items properly, to withstand local domestic handling. (less than 20 KGS per package).
We are going to open your cardboard boxes to check contents for security and may have to re-package them with fortified OCS cardboard boxes. Therefore, you may not see the same contents in the same boxes.

Q: May I ship direct to Show Site (Venue / Exhibit Hall)?
A: No. There will be no one there to take responsibility for your shipment.
You must ship to the OCS receiving warehouse.

Q: Can you pick up twice?
A: Yes, we can. But, in that case, please send us the Shipper’s Pre-alert Form every time you want us to pick up.

Q: What is the deadline for pickup order / receiving to OCS?
A: OCS Tokyo needs to receive your exhibit shipments by March 17th, 2025 (Mon) for Los Angeles Career Forum.

Warehouse Receiving period (Japan Standard Time):

• Los Angeles Career Forum:
February 18 (Wednesday) – March 6 (Friday), 2026
Pickup order: By March 5 (Thursday) 5 pm Monday – Friday (9:30am – 6:00pm)

Q: Are there any storage charges if I ship early to OCS?
A: No, we do not charge for a temporary advance storage.

Q: Can you pick up outside of the published pick-up terms?
A: We will do our best to accommodate your request. However, there are deadlines to receive freight, depending on contents etc.. Please contact us before the deadline dates, even if you will be late.
There may be a late shipping fee for freight received after deadline.

Q: Is there anything that we cannot ship?
A: Restricted or regulated articles include:

- Food
- Cosmetics
- Medicine, including samples
- China ware
- Drinking utensils (mugs, cups, glasses)

The above items are restricted by the U.S. Food and Drug Administration, and we cannot accept these items.

- Textiles such as company uniforms & jackets, table cloths, t-shirts, etc.
* Need to list composed materials, materials' percentages and if knitted or woven.

- Electronics such as PCs and laptops
* Regulated, but some items may be shipped with a prior notice and approval with a proper declaration.

Q: How should I complete the packing list in the Shipper’s Pre-alert Forms?
A: Please describe items in detail. Your descriptions will affect the customs declaration or coverage by insurance.

Example for listing items:

*As for high-value items, we may have to adjust values to a reasonable declaration for customs, but this will not affect the insurance coverage.

Q: How should I label my boxes and displays?
A: In the OCS Shipping Instructions, there is a label sheet for properly identifying cargo (showing Exhibiting Company Name and piece count)

Boston Career Forum and Los Angeles Career Forum have each specific labels and Forms.
If you do not have these labels and Forms, you can download documents at CFN company management page.(https://manager.careerforum.net/)

Q: May I ship to OCS direct from another country?
A: From Japan, OCS will handle all Career Forum shipments to both Boston and Los Angeles.
If you are shipping from a country other than Japan door-to-door with our OCS branch or other carriers, please email the pre-alert form to us in advance. Please make sure all US import Duties & Taxes will be billed to you, not to OCS.
If you want to ship to OCS as cargo instead of door-to-door, you must contact OCS BEFORE shipping, to ensure that the goods are consigned properly. We can then arrange customs brokerage. Please contact,

Q: Where will you deliver my freight?
A: We deliver your items right to your booth in the Career Forum event hall.

Q: Can OCS arrange booth display / exhibit set-up?
A: No. All exhibitors need to order Vendor Support from "Option Items" on the CFN company management page. (https://manager.careerforum.net/).
Third parties should first contact their exhibitors, who will make the initial request.

Q: How may I store my empty containers?
A: It is strictly prohibited to store "Empties" or other boxes behind the booth due to venue restrictions. Boxes which you need to access during the event - for example brochures and handouts - may be kept within your booth. Or OCS can store your unneeded "Empties" or boxes for you during the Forum.

To request OCS to store "Empties" or boxes, first please go to below URL and reserve the Return Time Slot in advance.

On the set-up day, on any "Empties" or boxes you would like OCS to keep, please apply OCS "Empties" labels, which will be provided along with instructions, and place "Empties" or boxes in front of your booth. OCS will collect and store them after the set-up and return them within the requested return time.

Q: What is the move-out procedure?
A: OCS will distribute complete instructions for move-out, on exhibitor set-up day. You may also review the move-out procedures in advance, in the OCS Shipping Instructions.

Please fill out the Return Freight Order section in "Pre-alert & Return Freight Order Form" and submit it by 6 pm on the first day of Boston Career Forum or 6 pm on set-up day of Los Angeles Career Forum. We will prepare outbound airbills, labels and paperwork during the Forum, in order to expedite exhibitor move-out, based on your Return Freight Order.
And OCS must sign off on all return freight before you leave the Forum.

We will email you a "Pre-alert & Return Freight Order Form" in advance. Please make sure that either your representative on site or the exhibitor can differentiate your freight from the freight being returned to other destinations, and can label each piece accordingly.

Q: How long will it take to receive Return shipment items?
A: It will take about 7-12 business days for Return shipments to Japan.

Q: Can you ship to countries other than Japan?
A: Yes, we can ship to any international destinations, or to any U.S. domestic destinations. If you already know what the return address (or addresses) will be for your return shipments, please fill out the Return Freight Order section in Pre-alert & Return Order Form and send it to us.

If you are not yet sure about the return addresses, we can also accept your Return Freight Order at the Forum by the following time.

Q: How much do you charge?
A: Please see “OCS Shipping Rates”, which you can download along with the DISCO exhibitor manual and other OCS shipping information documents.
At the last of OCS Shipping Instruction, there is also "OCS Shipping Rate Guide" to assist the exhibitors to estimate transportation costs.

Q: When do I receive my invoice?
A: OCS invoice for Japan contracted exhibitors will be sent by OCS Japan, and the one for US contracted exhibitors will be sent from OCS America. The invoice for Boston Career Forum will be sent in December, and the one for Los Angeles Career Forum will be sent in May. For any concerns and/or questions regarding to OCS service invoice and its details, please contact OCS offices below.

Q: What if I have a problem with any of my shipments?
A: For any problems with freight either before or after the events, please contact one of the OCS Offices, noted below on this website.
If you are on-site at the Career Forum venue, please come to the OCS Service Desk. We will have staff there throughout the Career Forum, from exhibitor set-up day through the move-out.

Q: How will OCS handle international returns?
A: OCS is an international freight forwarder, in charge of all international freight in and out of the Career Forums.
We will assist with export documentation and provide complete door-to-door returns anywhere in the world.
OCS retains copies of all Commercial Invoices of the inbound OCS shipments to the Career Forums, and will use the amended versions of these for return shipments. Please note that any international shipments from Career Forums, including the returns, are subject to possible duties and taxes.

Q: I will attend both Career Forums in Boston and Tokyo Winter. How can I ship exhibit materials between these two Forums?
A: OCS will offer a transfer service for your materials.
