Q: What services will OCS provide? A: OCS is the official freight & logistics company for the Career Forums in Boston and Los Angeles. We ship all exhibitors' freights from Japan to the U.S. and back, as well as between the Career Forums in Boston and Los Angeles. We also receive all advance domestic exhibitors' freights in our warehouse, and we work with the organizers and the venue decorating contractor to move freight in and out of the venue. OCS provides outbound return shipping to all international and domestic destinations and other overseas Career Forums. Q: Where can I find complete OCS shipping information and instructions? A: Once you register for the Career Forums, you will be able to access your CFN company management page with your ID and password (https://manager.careerforum.net/). There, you can download necessary documents including the exhibitor manual and OCS shipping documents. You will be able to download the following OCS documents. - OCS Shipping Instructions - OCS Pre-Alert & Return Freight Order Form - OCS Rate Chart Q: I am a satellite office or Third Party vendor for a Career Forum exhibitor. Can you send me the ship-to addresses? Please complete that Form and email or fax to OCS. We will also attach a multiple boxes / pieces label sheet which you should use to properly identify each piece you will ship to us. Q: What is the deadline for shipping / receiving to OCS? A: OCS needs to receive your exhibit shipments by April 1 (Wednesday) for Los Angeles Career Forum. Warehouse Receiving period: • Los Angeles Career Forum: March 10 (Tuesday) – April 1 (Wednesday), 2026 Monday – Friday (9:00am – 6:30pm) Q: What if I am late with my shipments? A: Please contact OCS staff. We will do our best to accommodate you. A: No, we do not charge for a temporary advance storage. Q: Are there any restrictions on what I can ship? A: On domestic shipments, there are only the standard restrictions of Hazardous Materials and contraband items. For international shipments, we can not accept: 1. Food 2. Drugs 3. A: From Japan, OCS will handle all Career Forum shipments to Boston and Los Angeles. If you are shipping from a country other than Japan door-to-door with our OCS branch or other carriers, please email the pre-alert form to us in advance. Please make sure all US import Duties & Taxes will be billed to you, not to OCS. If you want to ship to OCS as cargo instead of door-to-door, you must contact OCS BEFORE shipping, to ensure that the goods are consigned properly. We can then arrange customs brokerage. A: Yes, OCS will label your display cases or boxes in our warehouse prior to move-in. Q: How should I label my boxes and displays? A: In the OCS Shipping Instructions, there is a label sheet for properly identifying cargo (to show Exhibiting Company Name and piece count). On your own carrier shipping labels, please clearly state the Ship-to addresses, shown in the Shipper's Pre-alert Forms, which are included with the OCS Shipping Instructions. Los Angeles and Boston Career Forums each has specific labels and Forms. If you do not have these labels and Forms, you can download documents at CFN company management page.(https://manager.careerforum.net/) Q: How can I track my shipment that I sent to OCS? A: Once we have received your Shipper’s Pre-alert Form, we will actively monitor your incoming cargo, based on the data you provide on that Form. On that Form, you are also asked to provide your email address. We will email a cargo receipt confirmation to that email address. Q: Will OCS deliver my materials to my booth? A: Yes. Q: Can OCS arrange booth display / exhibit set-up? A: No. All exhibitors need to order Vendor Support from "Option Items" on the CFN company management page. (https://manager.careerforum.net/). Third parties should first contact their exhibitors, who will make the initial request. Q: How may I store my empty containers? A: It is strictly prohibited to store "Empties" or other boxes behind the booth due to venue restrictions. Boxes which you need to access during the event - for example brochures and handouts - may be kept within your booth. Or OCS can store your unneeded "Empties" or boxes for you during the Forum. To request OCS to store "Empties" or boxes, first please go to below URL and reserve the Return Time Slot in advance. (https://manager.careerforum.net/) On the set-up day, on any "Empties" or boxes you would like OCS to keep, please apply OCS "Empties" labels, which will be provided along with instructions, and place "Empties" or boxes in front of your booth. OCS will collect and store them after the set-up and return them within the requested return time. Q: What is the move-out procedure? A: OCS will distribute complete instructions for move-out, on exhibitor set-up day. You may also review the move-out procedures in advance, in the OCS Shipping Instructions. Please fill out the Return Freight Order section in "Prealert & Return Freight Order Form" and submit it by 6 pm on the first day of Boston Career Forum or 6 pm on set-up day of Los Angeles Career Forum. We will prepare outbound airbills, labels and paperwork during the Forum, in order to expedite exhibitor move-out, based on your Return Freight Order. And OCS must sign off on all return freight before you leave the Forum. Please make sure that either your representative on site or the exhibitor can differentiate your freight from the freight being returned to other destinations, and can label each piece accordingly. Q: How long will it take for my materials to be returned from the Forum to origin? A: Delivery Period: •Domestic shipments (within the U.S.): 2 - 3 business days after the Forum •International shipments: 7 – 12 business days Q: Can I use my own domestic carrier to move my materials out of the venue? A: The venues are union-exclusive, so that your carriers may not come onto the venue floor. For returning domestic shipments, you may have your own carrier pick up, but they will be required to wait at the loading dock. OCS will move your materials to the dock. Make sure your carrier can pick-up during these weekend after-hours move-outs. If carriers do not check in on time, OCS will remove your materials back to our warehouse, where your carrier can pick up during normal business hours. You may also simply request that OCS to bring materials back to our warehouse, where your carrier can pick up. Q: When do I receive my invoice? A: OCS invoice for Japan contracted exhibitors will be sent by OCS Japan, and the one for US contracted exhibitors will be sent from OCS America. The invoice for Boston Career Forum will be sent in December, and the one for Los Angeles Career Forum will be sent in May. At the last of OCS Shipping Instruction, there is also "OCS Shipping Rate Guide" to assist the exhibitors to estimate transportation costs. A: For any problems with freight either before or after the events, please contact one of the OCS Office, noted below. If you are on-site at the Career Forum venue, please come to the OCS Service Desk. We will have staff there throughout the Career Forum, from exhibitor set-up day through the move-out. Q: How will OCS handle international returns? A: OCS is an international freight forwarder, in charge of all international freight in and out of the Career Forums. We will assist with export documentation and provide complete door-to-door returns anywhere in the world. OCS retains copies of all Commercial Invoices of the inbound OCS shipments to the Career Forums, and will use the amended versions of these for return shipments. Please note that any international shipments from Career Forums, including the returns, are subject to possible duties and taxes. Q: I will attend both Career Forums in Boston and Tokyo Winter. How can I ship exhibit materials between these two Forums? A: OCS will offer a transfer service for your materials. Please check " OCS will forward my shipments to Tokyo Winter Career Forum " in the Return Freight Order section on the Pre-alert & Return Order Form.
